Important Notice – Issues with Document Preview Files and Future Actions

Following the maintenance conducted on Sunday, November 23, 2025, an issue occurred where the size of document preview files in the file sharing and shared note functions became larger than usual.
We would like to provide details regarding this issue and our future response.

* Customers using only the file sending feature will not be affected by this issue.

We will continue striving to provide a safer and more reliable service. We appreciate your continued support.


■Incident Details

・Affected Period:
November 23, 2025 – December 12, 2025 (JST)

・Details:
An issue has occurred where the size of document preview files in the file sharing and shared notes features has become larger than before.

* Document preview files are automatically generated by GigaCC to display previews of Microsoft Office format (Word/Excel/PowerPoint) and PDF files uploaded via the file sharing and shared notes features in “document preview format”.

* This issue only affects document preview files. Files automatically generated by GigaCC for display in “image format” or “video preview format” are not impacted.

* The file sending feature is not affected by this issue as it does not implement a preview display function for uploaded files.

Please note that while the size of new document preview files generated via file uploads after December 13th has returned to its pre-issue state, the size of document preview files generated during the aforementioned affected period has not yet been corrected. We plan to implement corrective measures for these files shortly.

・Impact:
When using the file sharing feature and shared note feature, document preview files may consume storage capacity.

* If your contract allows for overage charges, document preview files will be subject to overage fees. However, we will adjust accordingly to ensure no disadvantage to customers due to this matter.

・Affected Customers:
Customers currently using the document preview feature within the file sharing feature and shared note feature.


■Status by Period

・November
  (1) 11/1–11/22: No issues
  (2) 11/23–11/30: Period with malfunctions
・December
  (3) 12/1–12/12: Period with malfunctions
  (4) 12/12: Malfunction fixes implemented
  (5) Dec 13 – Late Dec: Re-creation of existing preview files (recovery work) implemented
  (6) Late Dec onwards: No issues

* For (5) and (6), the exact completion date of recovery work will be announced once the recovery work is completed.


■Regarding Usage Capacity Calculation

Usage capacity calculations will be determined based on the following periods to ensure this issue does not impact your usage:
 - Usage for November 2025 (billed in December 2025):
   Determined based on the period “(1) November 1 to November 22”
 - Usage for December 2025 (billed in January 2026):
   Determined based on the period “(6) Late December onwards”


■Future Notification Schedule

Once the recreation process (recovery work) for the previously created preview files is complete, we will notify you regarding the usage capacity calculation period for the December 2025 usage (billed in January 2026).
